Understand why an action such as Save, Delete, Return, Refund, Publish, or Export is not currently usable.

Before you start

Do not change a staff role immediately. First check whether the action is correctly unavailable because of the record’s current state.

Steps

  1. Hover over or focus the grey button and read its explanation when one is shown.
  2. Confirm that you opened the correct store.
  3. Wait for the page and your access information to finish loading.
  4. Check whether your staff role includes the named permission.
  5. Check the record’s status and required earlier steps.
  6. If Save is grey, make a real valid change and complete required fields.
  7. Refresh once if another person or system action may have changed the record.
  8. Ask the store owner to change your role only when the permission is genuinely missing.

The five common reasons

  • Permission: your role can view the page but cannot perform that action. For example, viewing orders does not automatically allow refunds.
  • Wrong store: permissions and records belong to a particular store. Access in one store does not grant the same action in another.
  • Not eligible now: the action would be unsafe or meaningless in the current status. A fully refunded order cannot be refunded again, and an archived product cannot be published.
  • Required setup is missing: another step must happen first, such as adding digital files, connecting Shiprocket, or selecting a customer.
  • Loading, saving, or unsaved state: Upstorr temporarily locks actions while it confirms data, prevents duplicate clicks, or waits for a valid change.
  • Feature access check: Online Store pages briefly confirm that the current store has Online Store access. If the check fails because the connection is slow, use Retry. If Online Store is not enabled, Upstorr returns you to the Store settings instead of showing controls that cannot work.

For example, “Create return” can be absent even for a manager when every item has already been returned. Giving more permission would not make another return safe.

Permission groups are separate

Managing products, inventory, customers, orders, refunds, returns, invoices, shipments, marketing, gift cards, bookings, settings, and staff are separate abilities. Give staff only the permissions needed for their work.

What happens next

The action appears or becomes active when both its permission and its real-world eligibility are satisfied. Upstorr still asks for confirmation before many permanent or financial actions.

Common problems

  • The owner sees it but I do not: Compare your role permissions for that exact action.
  • I have permission but the button is missing: Check the record status, remaining amount or quantity, and required setup.
  • Save is grey: No valid change was made, a required field is empty, or a background check is still running.
  • The button stays busy: Wait for the result; repeated clicks are blocked to prevent duplicate operations.
  • Access changed but the page looks old: Refresh after the role update is saved.
