What this helps you do
Save a reusable audience made from exact customers or from rules that describe them.
Before you start
Make sure the customer profiles contain the information your rules need. For example, a WhatsApp rule needs both a saved phone number and WhatsApp consent if you plan to message that group.
Steps
- Open Customers, then Customer groups.
- Select New customer group.
- Give the group a clear name.
- Choose Rules-based group or Manual customer list.
- Add rules or select the exact customers.
- Review the customer and reachable-customer counts.
- Select Save.
Choose the group type
- Rules-based group: you describe the kind of customer you want. Upstorr finds the matching customers again each time you save the group.
- Manual customer list: you pick the exact people. A manual group can contain up to 1,000 customers.
Changing the group type changes how membership works. Review the members before saving.
Rule matching
- All rules must match means every rule must be true for the customer. Rules are joined with AND.
- Any rule can match means only one rule needs to be true. Rules are joined with OR.
For example, “WhatsApp consent is Yes AND Total spent is at least ₹5,000” includes only customers who meet both requirements.
Understand every rule field
- Lifecycle: a broad stage calculated by Upstorr—New, Engaged, VIP, or At risk.
- RFM group: a more detailed shopping-pattern group calculated from how recently, how often, and how much the customer bought.
- WhatsApp consent: whether the customer allowed WhatsApp marketing.
- Email consent: whether the customer allowed email marketing.
- Phone number: whether a phone number is saved. This does not mean the customer gave WhatsApp consent.
- Email address: whether an email address is saved. This does not mean the customer gave email consent.
- Total spent: the customer's paid-order total.
- Orders count: the number of orders connected to the customer.
- Ordered within days: the most recent order happened within this many days.
- Last ordered before days: the most recent order was at least this many days ago.
- Joined within days: the customer profile was created within this many days.
Understand conditions
- is / is not: include or exclude one named or Yes/No value.
- at least: the value must be equal to or higher than the number entered.
- at most: the value must be equal to or lower than the number entered.
- within: the event must have happened during the last number of days entered.
A rules-based group can use up to 20 rules. The member count and reachable-by-email or WhatsApp counts update after you save changed rules.
About Lifecycle and RFM
Upstorr calculates these labels from purchase history. RFM means recency, frequency, and monetary value: how recently the customer ordered, how often they order, and how much they spend. The calculation compares customers within your store and uses eligible, non-cancelled purchase orders.
Use the labels as helpful marketing organisation, not as a guarantee of what a person will buy next.
Read and manage the group list
The Customer groups table shows:
- Manual or Rules-based: how membership is decided.
- Customers: every member of the group.
- WhatsApp reachable: members who have both a usable phone number and WhatsApp marketing consent.
- Email reachable: members who have both a usable email address and email marketing consent.
- Selected list: a manual group containing chosen people.
- 2 AND rules: a rules-based group with two conditions that must both match.
- 2 OR rules: a rules-based group where either condition can match.
- Updated: when the group was last changed.
Search by group name or type. Sort by name, members, reachable counts, or updated date. Select a row to edit it.
To delete groups, select their boxes and choose Delete. A group used by a campaign or discount stays protected. When deleting several groups, successful deletions disappear while protected or changed groups remain selected.
What happens next
Saving a rules-based group recalculates its matching customers. Saving a manual group keeps the exact customers you picked. The group can then be used anywhere Upstorr offers customer-group selection.
Common problems
- The group cannot be saved: add a name and at least one rule or manual customer.
- A customer is missing: check every rule, especially whether All rules uses AND or Any rule uses OR.
- Reachable count is lower than member count: some members do not have both the needed contact detail and permission for that marketing channel.
- Counts say “Updates on save”: save changed rules to calculate the new membership.
