What this helps you do

Keep a person's access accurate when their job, POS location, or employment changes.

Before you start

Open the staff member and identify whether they have Store access, POS access, or both. You need permission to manage every side you change or remove.

Steps

  1. Open Staff and select the person.
  2. Change the Store role, POS status, POS PIN, or location-role rows as needed.
  3. Select Save for ordinary edits.
  4. Use the separate access buttons only when you intend to remove or restore access.

Access actions

  • Send store invite: creates or restores Store access using the entered email and Store role. Existing POS access is kept for a combined user.
  • Remove store access: permanently removes the Store side but leaves the POS side when it exists.
  • Remove POS access: deactivates POS use but leaves Store access when it exists. Past orders and activity stay recorded.
  • Activate POS: restores an inactive POS user. Enter a fresh 4–6 digit PIN first.
  • Remove all access: removes both Store and POS access. Past orders and activity still stay safely recorded.

Changing the user type controls the sections you are editing, but use the clearly labelled removal buttons to intentionally remove existing access.

Remove several staff members

The Staff list separates people by access coverage and status. Search or sort to find the correct people, then select only the rows you intend to remove.

A row is selectable only when you can manage every type of access that person has. For example, someone with both Store and POS access requires both management permissions. Bulk removal fetches the latest version of each staff record before removing access. Successful removals disappear; protected or newly changed people remain selected.

Removing access does not erase historical orders or activity attributed to that staff member.

What happens next

The Staff list updates its Coverage, Store Status, POS Status, roles, and location access. Historical orders and recorded activity keep their staff attribution even after access is removed.

Common problems

  • Activate POS is unavailable: enter a fresh 4–6 digit PIN in the POS section.
  • Send store invite is unavailable: enter a valid email and select a Store role.
  • You cannot remove all access: you need permission to manage every access type the person currently has.
  • A newer-change error appears: reload the staff member before saving so you do not overwrite another administrator's update.
