Attach the correct person to a cart and maintain the customer details needed for receipts, delivery, tax, and permitted marketing.
Before you start
Ask the customer for accurate details and permission. Do not invent an email, phone number, address, tax choice, or marketing consent just to pass checkout.
Steps
- Open Customers.
- Search with at least two characters of a name, email, or phone number.
- Open an existing customer, or select New customer.
- Enter a real email. Add name, phone, and address when known or required.
- Save, then choose Go to Cart or use the plus button beside an existing customer.
- On the profile, review addresses, tax choice, marketing permission, tags, and internal note.
Create a customer
Email is required and must be valid. Name and phone are normally optional, but the current outlet's checkout rules can require them. If you type any part of an address, Address line 1, City, State, and PIN code all become required. Address line 2 is optional.
When you open Add customer from the cart, search first to avoid making a duplicate. The plus button opens New customer. If your search already looks like an email address or Indian phone number, POS carries it into the matching new-customer field so you do not type it twice. Check it before saving.
When offline, a newly created customer is saved on that device and queued to sync. Editing an existing customer's contact details requires internet.
Use the customer profile
The profile shows member age, order count, and total spending. You can maintain:
- contact name, email, and phone;
- multiple Indian addresses;
- internal note and comma-separated tags;
- tax collection choice; and
- separate email and WhatsApp marketing choices.
An internal note is not shown to the customer. Tags are labels for your team.
Choose shipping and billing addresses
Select an address to edit it, delete it, make it the default shipping address, or make it the default billing address. Use same billing address as shipping makes checkout use the shipping choice for both purposes. Turn it off when invoices must use a different billing address.
Deleting an address removes it from future selection. Check whether it is a default before deletion and choose the correct replacement afterward.
Understand Collect taxes
When on, the customer is treated as taxable under the product and store GST rules. Turning it off marks the customer tax-exempt. Do this only when the customer genuinely qualifies; it is not a discount button.
Understand marketing choices
Accepts email marketing and Accepts WhatsApp marketing record consent for promotional campaigns. A phone number is required before enabling WhatsApp marketing. Contact details alone are not consent.
Delete a customer
Delete only after confirming you have the correct record. Past order records remain business records, but the customer profile is removed from normal use. If that person is selected in the current cart, POS clears the selection.
What happens next
The chosen customer is attached to the cart. Checkout can use their defaults and validate required receipt, delivery, and tax information.
Common problems
- Search does not start after one letter: Enter at least two characters.
- Address will not save: Complete Address line 1, City, State, and PIN code.
- WhatsApp marketing will not turn on: Save a valid phone number first and confirm the customer agreed.
- Editing is disabled: Reconnect; most profile updates require internet.
- The wrong customer is in the cart: Select Add customer again and choose the correct record before payment.
