What this means
The Orders page separates payment from fulfilment. Receiving money and giving the product to the customer are two different jobs, so they have different statuses.
Payment status
- Pending: no completed payment has been confirmed.
- Partially paid: some online money was received, but an amount is still outstanding.
- Paid: the full amount is recorded as paid.
- Failed: the payment attempt failed.
- Partially refunded: only part of the paid amount was returned.
- Refunded: the paid amount was fully returned.
Fulfillment status
This shows the current delivery or return stage, such as Unfulfilled, In transit, Delivered, Return initiated, Partially returned, Returned, or Cancelled.
Fulfillment progress
This looks at every fulfilment part of the order. It tells you whether the whole order is Unfulfilled, Partially fulfilled, Fulfilled, Partially returned, Returned, or has a Return initiated.
For example, an order with two parcels can be In transit while its overall progress is still Unfulfilled. If one parcel is delivered and the other is not, the progress becomes Partially fulfilled.
Channel
This shows where the order began: Online or POS. A Manual badge means it was entered by staff through Create order.
Channel detail
This gives more precise information about the channel, such as the kind of POS location used.
Payment method
This shows how payment was recorded for the order. It is separate from payment status: the method says how, while the status says whether it succeeded.
Delivery
This shows whether the order is shipped, locally delivered, picked up, carried out, digital, or mixed. Use its quick view to check the destination.
Inventory location
This shows the location that supplied or reserved the items.
Staff
This shows the staff member credited for the sale, when one was selected.
Risk
This is Upstorr’s order-risk indicator. Hover over or open it to see the risk score and recorded reasons. Treat it as a prompt to review the order, not automatic proof of fraud.
Simple example
An online order can show Paid, In transit, and Unfulfilled at the same time. This means the money was received, the parcel is moving, but the customer has not received the complete order yet.
What you need to know
- Use the Draft tab for requests that have not yet been converted into real orders.
- Select pending orders to use the bulk Mark as paid action. This records money as collected; it does not run a new payment capture.
- Documents are available for real orders, not draft requests.
- Statuses can change after shipment updates, returns, refunds, or payment confirmation.
- Use Columns to show only the fields your team needs and Views to save a useful table setup.
- Search accepts an order number, date, customer, or staff member.
