What this helps you do

Issuing creates a real gift card code with money available on it. Use this when you want to give a customer a gift card directly instead of waiting for them to buy a gift card product.

Before you start

Choose the customer and starting value. Make sure the customer has the correct email if you plan to send the code. Your staff role must allow you to manage gift cards.

Steps

  1. Open Products, then Gift Card.
  2. Select Issue gift card.
  3. Keep the generated Gift Card code, or replace it with your own code between 8 and 20 characters. Codes are changed to capital letters.
  4. Enter the Initial value. It must be more than zero and can have up to two decimal places.
  5. Select the Customer who will own the gift card. If allowed by your staff role, you can create a customer from this picker.
  6. Add an optional Expiration date. Leave it empty when the gift card should not expire.
  7. Add an optional internal note under Notes.
  8. Keep it Active if it should work at checkout, or choose Set inactive if it should not work yet.
  9. Select Save.

Protect the full code

Immediately after creation, Upstorr lets you view and copy the full gift card code on that browser tab. Save or send it carefully. Later lists identify the card without exposing its full secret code.

Treat the code like money. Anyone who has a usable code may be able to spend its balance.

Initial balance and current balance

  • Initial balance is the value the gift card started with. It stays as the original reference amount.
  • Current balance is what can still be spent. It changes after purchases, refunds, or manual adjustments.

Adjust the current balance

Open the gift card and enter an amount under Adjust current balance:

  • Enter a positive amount, such as 250, to add ₹250.
  • Enter a negative amount, such as -100, to deduct ₹100.

Select Save. The adjustment appears in the timeline. Use this only to correct or intentionally change the stored value; it does not change the initial balance.

Send, deactivate, or reactivate

  • Send gift card emails the code to the assigned customer or recorded recipient. Upstorr shows the destination before sending.
  • Deactivate keeps the gift card in your records but stops it from being used at checkout.
  • Activate allows an inactive gift card to be used again, subject to its remaining balance and expiry.

The timeline can show when the card was issued, redeemed, refunded, or adjusted. Select Load older activity when more history is available.

Find a gift card

The Gift Card list can be searched by code, recipient, or customer. It shows the initial value, remaining balance, and whether the card is active. You can select several cards and deactivate them together. Deactivation does not erase their records.

What happens next

The issued card stays in the Gift Card list with its balance and activity history. If it is active, unexpired, and has balance remaining, the code can be used at checkout.

Common problems

  • Save is grey: Select a customer, enter a code between 8 and 20 characters, and enter a valid value above zero.
  • The email goes to the wrong person: Stop and correct the assigned customer's email before selecting Send gift card.
  • The balance adjustment is rejected: Enter a number with no more than two decimal places. Use a minus sign to deduct.
  • The gift card cannot be used: Check that it is Active, has not expired, and still has a balance.
