What this helps you do

Read what happened to stock at one location and correct the real counted quantity without breaking reserved orders.

Before you start

Physically count the product at the location you are correcting. Inventory is separate for every location and every variant.

Steps

  1. Open Inventory.
  2. Choose the correct location at the top.
  3. Search by product name, variant name, or SKU.
  4. Read Unavailable, Committed, Available, and On Hand before editing.
  5. Select the Available or On Hand number in the correct row.
  6. Enter a whole number of zero or more.
  7. Check the highlighted unsaved value.
  8. Select Save.
  9. Wait for Upstorr to confirm every changed row.

Understand every quantity

  • On Hand: all physical units currently recorded at this location, including units already committed or temporarily unavailable.
  • Committed: units reserved for orders or another supported obligation. They are physically present but should not be promised to a new customer.
  • Unavailable: units present but not currently sellable, such as stock held by another inventory state.
  • Available: units that can still be promised for a new sale.

The safe relationship is:

Available = On Hand − Committed − Unavailable

For example, you physically have 10 pieces. Two are committed to orders and one is unavailable. On Hand is 10 and Available is 7.

What editing each number does

  • Changing Available changes On Hand by the same difference while keeping Committed and Unavailable intact.
  • Changing On Hand changes Available by the same difference while keeping Committed and Unavailable intact.
  • You cannot set On Hand below Committed plus Unavailable because that would claim fewer physical units than the units Upstorr must already account for.

If On Hand is 10 and Available is 7, changing Available to 9 also changes On Hand to 12. Changing On Hand to 8 instead changes Available to 5.

Search and filter

Search checks every product or variant name and SKU at the chosen location. The Available filter can find quantities equal to, above, below, at least, or at most a number. All active filters must match.

Saving and simultaneous changes

Edits are staged for the selected location until Save. Upstorr checks the original quantity before applying each correction. If another sale, return, or staff member changed stock after the page loaded, it asks whether to reload. Reloading discards your unsaved corrections for that location so you can compare against the newest numbers.

What happens next

After every row is confirmed, the saved quantities replace the highlighted drafts. Product availability uses the new Available amount.

Common problems

  • A number cannot be edited: Your role may view inventory but lack inventory-management permission.
  • On Hand is rejected: It cannot be lower than Committed plus Unavailable.
  • Save is disabled: Choose a location and make at least one valid change.
  • Another stock change happened: Reload the newest quantities, count again if needed, and then enter the correction.
  • A product is missing: Check the selected location, search text, product stock tracking, and variant.
  • Only some rows were confirmed: Your drafts stay visible. Do not assume an unconfirmed quantity was saved.
