What this helps you do

Tell an exhibit-mode POS device which exhibition, fair, wedding show, or temporary venue it is working at today.

The chosen venue controls the POS location, exhibit register, stock source, market, GST location information, staff access, and cash session. Do not start selling until it is correct.

Before you start

  • The phone or tablet must be paired to a saved POS device whose assignment is Exhibit device.
  • Unlock the device with the working staff member's PIN.
  • To choose an existing venue, that staff member must have access to it.
  • To create a venue in POS, the staff member needs permission to manage locations.
  • Create at least one Indian inventory location and one market before creating a venue.

Steps

Use an existing venue

  1. On Choose Venue, open Choose venue.
  2. Select the exact event or venue.
  3. Select Use venue.
  4. Confirm the location shown in POS before making a sale.
  5. Start or continue the exhibit cash session if you will accept cash.

Only active exhibit venues that the unlocked staff member can access appear in the list.

Create a venue from POS

  1. On Choose Venue, select Create venue.
  2. Enter the venue name.
  3. Choose the Indian state where the event is physically happening.
  4. Enter the city when useful.
  5. Choose the default inventory location.
  6. Choose the market.
  7. Select Create venue.

The new venue is created, selected, and opened on this device immediately.

Understand the creation fields

  • Venue name: a clear reusable name, such as Delhi Wedding Expo. It can contain up to 200 characters.
  • State: the Indian state where this exhibition happens. It is required and helps Upstorr decide the correct GST context for sales at the event.
  • City: the city where the event happens. It is optional in the quick POS form.
  • Country: locked to India. Exhibit venues outside India are not supported.
  • Default Inventory: the Indian stock location that supplies products sold at this venue. This can be different from the event address.
  • Market: the pricing market used at this venue.

The POS quick form creates the information needed to start selling today. Use the Admin exhibit editor later when you need full venue details such as address, dates, booth, notes, or customer-detail rules.

Understand the cash-session warning

One device cannot silently carry an open cash session from one exhibit into another.

If the device still has an open session at a different exhibit, Upstorr shows Close current cash session. Close and count that session before choosing another venue. This keeps one event's cash separate from the next event's cash.

Example: you finish at the Mumbai Fair with ₹8,000 in the drawer and travel to the Pune Expo. Close the Mumbai session first so Pune does not begin with Mumbai's expected cash balance.

What happens next

Upstorr assigns the paired device to the selected exhibit location and its exhibit register. It refreshes the staff member's access for that location and loads the venue's tax context.

Products and availability now use the venue's default inventory source and market. Cash activity belongs to the exhibit register.

Common problems

  • No venues are listed: no active accessible exhibit exists. Select Create venue if you have permission, or ask an administrator to create one and give you access.
  • Create venue is not allowed: the unlocked staff member does not have location-management permission.
  • Unlock this exhibit device first: sign in with the working staff member's PIN before creating a venue.
  • No stock sources are available: create an Indian inventory location in Admin.
  • No markets are available: create a market in Admin.
  • The venue needs a valid state: edit the exhibit and choose a real Indian state before using it.
  • You do not have access to this venue: an administrator must assign the staff member to that exhibit location.
  • Close the current cash session: finish the open session at the old exhibit before switching.
  • This device is assigned to an outlet register: change the saved device assignment to Exhibit device in Admin.
