What this helps you do

The media library is the shared home for files used by your products, storefront pages, and templates. It helps you reuse a file instead of uploading the same picture again.

Before you start

Give files clear names so your staff can find them later. The Add media button on this page accepts a file of up to 8 MB per upload. Your staff role needs media access to view files and media-management access to change them.

Steps

  1. Open Media in the Upstorr admin.
  2. Select Add media and choose one or more files.
  3. Use the All, Images, or Videos tab to find a file.
  4. Search by name, type, extension, or media ID when needed.
  5. Select a file's name to rename it, then select Save.
  6. Open the row menu to download the file, open its URL, or move it to Trash.

Understand the table

  • Type: whether the item is an image, video, 3D model, or another file.
  • Extension: the file ending, such as JPG, PNG, or MP4.
  • File size: how much storage the file uses.
  • Used in: how many saved places currently refer to the file.
  • Uploaded: when it was added to the library.

The summary cards describe only the files currently loaded on the page. Media loaded and Storage loaded are not guaranteed to be totals for the entire library when more rows are still available.

Rename a file

Select the visible name, type a new name, and finish the edit. The file extension is kept for you. Select Save to store the rename. A complete stored filename can contain up to 255 characters, including its extension.

Delete unused media

A media item can be deleted only when Used in is zero. If it is still used, remove it from the products, storefront pages, or templates that refer to it first.

Delete unused marks every unused file currently loaded on the page. It does not silently include files that have not been loaded yet. Review the marked changes, then select Save to move them to Trash.

Trash and recovery

Deleted media stays recoverable in Trash for 90 days. Open the row menu and select Restore to return it. After 90 days, Upstorr permanently removes the live file.

What happens next

Uploaded files become available to supported media pickers across the store. Renames and deletions take effect after Save; restored items leave the Trash view immediately after restoration succeeds.

Common problems

  • Delete is grey: The file is still used somewhere. Check the Used in number and remove those uses first.
  • You cannot search, sort, or change tabs: Save or discard your pending media changes first.
  • A file will not upload: Check that it is no larger than 8 MB on this page and that the file contents match its type.
  • The total looks too small: The summary counts only loaded rows. Scroll to load more files.
  • A deleted file is missing from Trash: More than 90 days may have passed, or the Trash list may need to load more rows.
