What this helps you do

Give each person their own carefully limited access instead of sharing the account owner's password.

Before you start

Create the Store or Point of Sale role the person needs. For POS access, create the POS outlet or exhibit first.

Staff need access to view roles and manage the type of staff they are adding. POS setup also needs permission to view POS locations. If you are signed in as staff, you can assign only roles whose permissions are included in your own access. Ask the owner when someone needs more access than you can give.

Steps

  1. Open Staff and select Create staff.
  2. Choose Store user, POS user, or Both.
  3. For Store access, enter the person's name and email, then choose one Store role.
  4. For POS access, enter their name and optional contact details, then create a private 4–6 digit PIN.
  5. Under POS location access, select Add access, choose a location, and choose the POS role used there.
  6. Repeat location access only for other locations the person should use. The same location can be assigned only once. One person can have up to 500 location-role assignments.
  7. Select Save.

What happens next

A Store user receives an invitation and remains Pending until they accept it. A new active POS user can use the assigned POS locations with their PIN. A person set to Both uses one combined staff record but still has separate Store and POS permissions.

Common problems

  • Save is unavailable: complete every required field and select a valid role.
  • A Store role does not appear: the role must contain at least one Store permission, and you must be allowed to assign its permissions.
  • A POS role does not appear: the role must contain at least one Point of Sale permission.
  • A new POS user will not save: enter a PIN containing only 4–6 digits.
  • A location cannot be added twice: one location gets one POS role for that person; edit the existing row.
