What this helps you do

Create one reusable permission set, such as Cashier or Inventory Manager, and assign it to the right staff members.

Before you start

List the work the person must do. Give the smallest useful access. Do not select every permission merely because it is convenient.

Steps

  1. Open StaffRoles.
  2. Select Create role.
  3. Enter a clear name of at least two characters and an optional description.
  4. Choose Store or Point of Sale as the permission type.
  5. Search or expand permission groups.
  6. Select at least one permission.
  7. Select Create role.

How permissions work

  • View normally allows reading a feature without changing it.
  • Manage normally allows creating or changing that feature. Some sensitive actions have their own permission even when a broader Manage permission exists.
  • Store permissions cover admin areas such as products, inventory, orders, refunds, returns, shipments, customers, markets, marketing, bookings, reports, settings, billing, staff, and roles.
  • Point of Sale permissions cover the POS back office and POS app, including locations, devices, registers, checkout, payments, orders, customers, cash tracking, refunds, exchanges, inventory, and analytics.

Important separate permissions include order refunds, order returns, inventory transfers, purchase orders, payment gateways, delivery providers, custom domains, billing, device pairing, offline queue work, and viewing online orders from POS. Read each permission description before selecting it.

Changing Permission type removes selected permissions that do not belong to the new type. Select all selects every currently available permission in that type. Use it only for a genuinely full-access role.

Find and remove roles

The Roles table shows the role name and description, permission type, the first permissions, assigned staff count, and creation date. All means every available permission for that role type is selected; +3 more, for example, means three additional permissions are hidden only to keep the row short.

Search by role name. Sort the list by creation date when you need older or newer roles first. Select a row to open it.

Only roles with no assigned staff can be selected for deletion. A role used by active staff or a pending invite stays protected. When deleting several roles, successful deletions disappear while protected or changed roles remain selected for you to inspect.

What happens next

The role appears in the matching role picker. Store roles cannot be used as POS-location roles, and POS roles cannot be used as Store roles.

Common problems

  • Create role is unavailable: enter at least two characters for the name and select at least one permission.
  • A permission disappeared after changing type: it did not belong to the new role type.
  • Delete role is disabled: at least one active staff member still uses it. Move those people to another role first.
  • A role does not appear for staff: confirm its permission type matches the access you are assigning and that it contains permissions.
