What this helps you do
Find the exact orders needing attention and download the right set without confusing loaded rows with the full result.
Before you start
Open Orders. Search, filters, sort, and saved views only change what the table shows. They do not change an order.
Steps
- Choose a built-in tab such as All, a fulfilment-progress tab, or Draft.
- Search by order number, date, customer, or staff member.
- Add the filters needed for your job.
- Sort by date, total price, or customer name.
- Use the column control to show the details you need. Order and action columns stay visible.
- Save useful filters, sort, and columns as a named view.
- Select one or more real orders when you need a supported bulk action.
- Select Export and choose the exact export scope.
Understand the filters
- Payment status: whether payment is pending, paid, partly refunded, refunded, failed, or another displayed payment state.
- Fulfilment progress: the broad work state, such as unfulfilled or fulfilled.
- Fulfilment status: Cancelled, Returned, Return initiated, Delivered, In transit, or Unfulfilled.
- Delivery method: Carry out, Pickup, Ship to customer, Ship to store, or Local delivery.
- Destination: words from the order’s delivery destination.
- Date: when the order was created.
- Channel: Online Store or Point of Sale.
- Channel detail: Outlet, Exhibit, or Retail.
- Location: the connected POS or inventory location when your role may view locations.
- Staff: the connected POS staff member when your role may view staff.
- POS channel: POS or non-POS orders.
- Risk level: Low, Medium, High, or Unknown.
- Payment ID: the gateway or recorded payment identifier.
- Order number, customer name, customer email: exact identifying details.
- Total amount: compare the final order amount with a number.
Every active condition must match. For example, Payment status is Pending plus Delivery method is Pickup finds unpaid pickup orders—not every unpaid order.
Saved views
Save a named view when you repeatedly need the same filters, sort, and columns. You can update, rename, set as default, remove as default, or delete it. Deleting a view removes only the viewing setup; it never deletes an order.
If the same view changed somewhere else, Upstorr loads the newest version instead of overwriting it blindly.
Bulk actions
- Mark as paid: appears only when every selected order is eligible and still Pending. It records payment as collected; use it only after you truly received the money. Several orders can finish while another fails, so read the final count.
- Download documents: prepares documents for selected real orders. Draft requests are not eligible because they are not completed orders.
- A draft row has its own actions. Permanently deleting an open manual draft restores its reserved inventory and keeps a private audit snapshot, but cannot be undone.
Export choices
- Currently loaded orders: only rows the table has loaded so far.
- All orders: every order across all pages in the store.
- Selected orders only: only checked rows.
- Orders matching your search: all matching orders in the All tab, including matching rows not yet loaded on screen.
For example, a search matches 300 orders but only 50 are loaded. Currently loaded exports 50; Orders matching your search exports all 300.
What happens next
The table keeps the current working view, and Export downloads a CSV for the chosen scope. Bulk financial actions refresh the list and report how many orders succeeded.
Common problems
- No results appear: Clear one filter at a time because all active filters must match.
- Orders matching your search is unavailable: Open the All tab and start a search first.
- Mark as paid is missing: At least one selected order is not eligible or is not Pending.
- Download documents is disabled: A selected row is a draft request, or your role cannot view invoices.
- Some bulk payments failed: Read the completed count. Successful orders remain updated; inspect and retry only the failed ones.
- Shiprocket warning icon appears: Real-time webhook tracking is not active. Periodic checks are still running, so updates may be delayed.
